1. Who these terms apply to

These Terms apply to anyone who requests a quote, makes a booking, or pays for any service offered by Lumos Identity House ("Lumos," "we," "us"), including registration and compliance services, business documents and strategy, website and digital services, branding and merchandise, and the monthly retainer package.

2. Our services

A full list of services and indicative pricing is available on our price list and packages sections. Prices are in South African Rand (ZAR) and are confirmed for your specific situation during a free consultation before any work begins. Some services (for example, tax return facilitation) are delivered in partnership with independent, appropriately registered professionals, stated clearly at the point of quoting.

3. Fully online operations

Lumos Identity House operates fully online. There is no physical office to visit. All consultations, document collection, and communication take place via WhatsApp, email, or video/phone call. You are responsible for ensuring documents sent electronically are accurate, legible, and sent through a secure channel.

4. Quotes and payment

1. Quotes are valid for 14 days from the date given, unless stated otherwise.
2. A deposit may be required before work begins. The remaining balance is due on delivery, unless a retainer or payment plan has been agreed in writing.
3. Pro package retainer fees are billed in advance each month and cover that month's services only.
4. Once a registration, application, or order has been formally submitted to a third party (e.g. CIPC, SARS, or a printing partner), that deposit becomes non-refundable, as third-party fees may already apply.

5. Turnaround times

Estimated turnaround times are given in good faith but are not guaranteed, particularly where CIPC, SARS, or a printing partner's own processing times apply. Delays caused by incomplete or late information from a client will extend the estimated turnaround accordingly.

6. Your responsibilities

You agree to provide accurate, complete, and truthful information and documents. You remain legally responsible for your own business's compliance (e.g. tax obligations, licence renewals, CIPC annual returns) — Lumos facilitates and reminds where possible, but ongoing legal responsibility remains yours.

7. Partner & third-party services

Tax return facilitation is prepared by an independent, registered tax practitioner partner, who is responsible for the accuracy of the return itself. Branded merchandise may be produced by an independent printing partner. Reasonable care is taken selecting partners, but Lumos is not liable for delays or defects caused solely by a partner's error, beyond assisting you in resolving the issue with that partner.

8. Branding, design & intellectual property

Ownership of a logo, brand style guide, website, or other design work transfers to you once paid in full; until then it remains Lumos's intellectual property. Lumos may showcase completed, non-confidential work in a portfolio or on social media unless you ask us in writing not to.

9. Cancellations & refunds

You may cancel before work begins for a full refund of any deposit. Once work has begun (including research, design drafts, or a third-party submission), the deposit is non-refundable, though any amount beyond the deposit for work not yet completed will be refunded. Pro package clients may cancel with 30 days' written notice; fees already paid for the current month are non-refundable.

10. Confidentiality & data protection (POPIA)

Personal information is used only to deliver the service requested, and shared with a third party (e.g. our tax practitioner or printing partner) only where necessary and under a confidentiality obligation. Your information is handled in line with POPIA — you may ask what information we hold, or request it be deleted, subject to any legal obligation to retain it.

11. Limitation of liability

Lumos takes reasonable care in delivering every service but does not guarantee a specific business outcome (e.g. loan approval, tender success, increased sales). To the extent permitted by law, Lumos is not liable for indirect or consequential loss arising from third-party or government delays, or from information you provided that was incomplete or inaccurate.

12. Communication

Our primary channels are WhatsApp and email. Response times are outlined in the contact section of our website; messages sent outside these hours are answered the next working day.

13. Changes to these terms

We may update these Terms from time to time to reflect changes in our services or the law. The version shown here at the time you engage a service is the version that applies.

14. Governing law

These Terms are governed by the laws of the Republic of South Africa.
